Make the Most of Opportunities – Why Your Venue is More than Just a Space
Putting your event together is a lot of hard work, but the promoting and marketing of it doesn’t have to be done alone. By having a plan, and working with others – you can better position your marketing efforts for maximum impact and a greater reach.
When you choose a location, you will have been looking at areas such as capacity, layout, costs, insurance and availability – but there is an extra area you can be looking towards making the most of, and that’s the people running the venue its self.
By knowing what your venue is willing to help you with and what they’re able to provide – you’ll be able to increase the amount of direct marketing you can do in person, and focus more of your efforts on online advertising, to give your event the best chance of success.
Make Use of Valuable Social Connections
Whether you’re looking for security, bartenders, or acts to fill out your party roster – there’s a good chance that the venue you’re working with will have worked with people in these areas before, and may have recommendations for you, or can potentially make introductions with the right people.
Many venues will have a database of people they’ve worked with – the ones that they are happy to have back, the ones that caused them problems, and the ones they’d never worked with again. If they’re happy to share this information with you, you could save yourself a lot of hassle and potentially money by dealing with the right people first time.
You should also enquire as to whether your chosen venue have their own mailing list (email or otherwise), and whether they charge promoters to advertise in it. There are generally two types of mailing list – one that goes directly to party goers, and informs them of upcoming events, and one that goes to other promoters or members of the service industry. Both of these lists are useful to get on, it can show you what sort of local events are taking place, what people are interested in, who is looking for work, and what people are expecting to pay. This makes for extremely valuable market research and an opportunity to connect with more acts, bookings and ticket-buying customers.
You should also look at the social media channels and websites of the venue you’ll be hiring. It should be mutually beneficial for you to advertise your event as being held in their location, and for them to advertise that your event is taking place. Not every venue or service will offer free social media promotion – so when you’re marketing events, you need to be prepared to find out whether the venue will work with you. When you’re running your own party place – whether that’s social media, online or via flyers – you need to make sure you’ve got an advertising budget that reflects the size of the event you want to put on.
Get Seen by More People with Striking Visuals
When you’re promoting your event – you need to have some level of print budget, and some striking graphics that encapsulate who you are, what you are doing, and who you are for – very quickly. People generally don’t want to read tons of text, and unless you can grab their attention with a bold or stand out graphic, even with the biggest and best names, you’re going to struggle to get noticed.
Even if you don’t plan on putting around posters and flyers, you’re still going to need to print a certain amount for the venue. When you find out the prices, availability and what the venue provides, you should take the opportunity to ask what they do for promotion, how many posters they need, and where they will display your advertisements.
This will give you a good idea of how many you need, and what sort of prices you should be budgeting.
When you create your graphics, you need to make sure there is a common thread – people need to be able to see your event online and know that it’s the same one they’ve seen at the venue, if you try and create too many different designs, or have no discernible thread, people won’t realise that it’s the same event, and lose interest.
Your graphics should be bold and eye-catching – something that people will stop and look at, whether they’re in person or behind their screen.
Spotlight Your Event with an Awesome Marketing Campaign
Once you’ve got your budgets in place, your graphics created and you’re ready to start advertising – you need to make sure that you interest people, you need to be consistent in both content and posting schedule, and really make people want to come and see what you’re putting on.
The more interested people you can get to see your adverts, the more likely you’ll be able to convert ticket sales.
